VFA is non-profit, volunteer-run organization that relies on our athletes’ parents to keep our association running. All families are expected to volunteer in support of the organization as a whole (that is, in addition to the routine volunteering that’s necessary for your own team to play).


VFA charges a mandatory $50 Volunteer Fee at registration. Refund of this fee will be available for registered coaches, team managers, board and executive members, and families providing other approved volunteer support communicated by VFA during the season. Other approved club-level volunteering opportunities may include pre-season field clean-up, concessions, events such as photo day, and other activities. Payment of this fee does not excuse families from team-level tasks, such as gameday field preparation or scorekeeping. All families are expected to provide team-level volunteer support, which is necessary for your player’s team to function.

Volunteering Requirements

All Executive-, coach- and team manager-level volunteers are required to:

  • Register with Softball BC

    Go to http://vancouverminorsb.rampregistrations.com/. Create a RAMP account (if you don’t have one already) or log in to RAMP. To register as an Executive volunteer, select “Executive/Volunteer Registration.” To register as a Coach/Team Manager, select “Coach/Staff Registration.” If you are serving both on the Executive and as a Coach/Team Manager, register for both.


    *VFA will cover the cost of this registration. If you would like VFA to do so, wait to complete this registration process until you have received instructions including a promo code from your age-group coordinator (for coaches/team managers) or the registrar (Executive volunteers). DO NOT SHARE THIS CODE, as VFA will be billed for everyone who registers with it.

  • Register with VFA

    Go to https://go.teamsnap.com/forms/516708. All VFA volunteers are required to complete a Screening Disclosure Form (SDF) each year. This (free) registration form includes your SDF.

  • Tournaments

    Volunteers are required to complete a Criminal Record Check (CRC) every three years. Go to the BC Government’s online Criminal Record Check website here and enter Access Code WFH6J2HJHU. You will be given an option to verify your identity either by using the BC Services Card app/login or by having VFA confirm your identification. Select the BC Services Card app/login.


    There is no cost unless you are required to attend the police station for fingerprinting. This happens rarely and only if there is someone with a similar name/birth date to you floating around out there. VFA will reimburse for the cost of fingerprinting with a receipt.


    If you have already completed a CRC for another organization within the past three years (for the 2027 Season, a CRC dated 2025 or later), there is an option online to “share” your CRC with VFA. If you prefer, you can also send a scanned copy to registrar@vancouverfastpitch.com.


    You must have a completed CRC before you can volunteer with VFA (that is, before you can coach, manage, etc.).

Executive Volunteers

Our greatest needs are currently in filling Executive roles, including in areas of scheduling, uniforms, communications, program and age group coordination, concessions, field supply, volunteer coordination, and others. Pre-season (January to March) is a busy time for these roles as we prepare for the coming season. If there is something you would like to see next year, volunteer! If you would like to voice your concern, volunteer! In particular, we are looking for House parents to join our Executive so they can have input in how things are run. Currently available executive roles include:

Fields Coordinator

Organize clean-up days for VFA’s diamonds ahead of the season, stock field boxes, identify field equipment issues and repair.

Fields Supply

Ensure field boxes stay stocked with medical supplies and chalk throughout season.

Scheduler

Schedule games and practices based on field permits.

House Uniforms Coordinator

Assemble, hand out and collect house uniforms.

Age Group Coordinators 

Organize teams, communicate with age group teams and families, plan season-end celebrations.

Team Managers and Coaches

We also need parents to continue to volunteer as coaches and team managers. Our Rep coach application and selection process for the 2027 Spring season is already complete. If you would like to coach a House team in Spring 2027, please respond to any pre-season calls for coach volunteers and indicate your interest when you register your athlete for the season.

  • Team Managers

    Team Managers are the point of contact (through their Age Group Coordinator) for their team’s communications with VFA as well as for their players and coaches to communicate with VFA and each other. They:


    • Enter and update the team’s schedule in TeamSnap,
    • Work with coaches to determine best practice day(s) and time for the team,
    • In older age groups, work with coaches to determine which tournaments to play in,
    • Arrange for pickup of uniforms at the beginning of the season and return of uniforms at the end of the season,
    • Assign parent volunteers (snacks, scorekeepers, field prep, etc.),
    • Organize their team on picture day,
    • Organize coaches’ gifts,
    • Work with coaches to organize team bonding activities (parents vs kids game, team BBQ, pizza party, etc.).

    Team Managers do not have to attend every game and practice. They can organize everything and then sit back and relax.

  • Coaches

    Coaches encourage player development, softball skills development, and social bonding. They:


    • Pick up equipment from VFA at the beginning of the season, bring it to all games and practices, and return to VFA at the end of season,
    • Work with the manager to determine practice days and times and, in older age groups, which tournaments to play in,
    • Create line up and determine field positions for games,
    • Conduct warm ups before games and team meetings after games,
    • Conduct practices focusing on age group appropriate skills (guidance provided by VFA [link to Coaches’ Corner sub-page]),
    • Work with the manage to organize team bonding activities.

    All coaches do not have to attend every game and practice; two coaches per game and practice is the minimum. Each team will ideally have a Head Coach and 1-2 Assistant Coaches to cover scheduling conflicts and run more than one skill station at practices.

Non-Parent Volunteers

If you are an ex-Wildcat or played college/university level softball and would like to help coach, please reach out to info@vancouverfastpitch.com. Depending on how much time you have to give, we would be happy to consider you assisting with one of our house teams, rep teams, and/or skills clinics.
